Your information

Privacy Policy

Effective date: October 18, 2026

MR HVAC is an owner-operated heating and cooling business serving Parkland County and area in Alberta. This policy explains what personal information we collect, why we collect it, and how we handle it. We follow Alberta's Personal Information Protection Act (PIPA) and only collect what we reasonably need to provide our services.

Information we collect

  • Contact details: your name, phone number, email address and service address (street, town and postal code).
  • Service request details: the service you ask about and any description or photos you send us.
  • Job and equipment records: appointment dates, work performed, equipment make, model, serial number, installation year, filter sizes, notes and photos taken on site.
  • Estimates and signatures: when you sign an estimate online, we save your typed name, your signature, the date and time, and a signed copy of the estimate.
  • Billing records: estimates, invoices, receipts, deposits, payment amounts, dates and payment method. We do not see or store full credit card numbers.
  • Website visits: pages viewed, the website or ad that referred you, general device type, and a random visitor ID stored in your browser.

Why we collect it

  • To respond to quote requests and contact you about your job.
  • To schedule, perform and follow up on installation, service and maintenance work.
  • To prepare estimates, invoices and receipts, and to collect payment.
  • To keep records of your equipment for future service and warranty support.
  • To meet tax, accounting and other legal obligations.
  • To understand how visitors find our website and measure our advertising.

We will only contact you with follow-ups such as estimate reminders, payment reminders or review requests related to work you asked us about. We do not sell, rent or trade your personal information.

How we store and protect it

Customer records are kept in a secure online business system that requires a sign-in. Access is limited to the owner and staff who need it to do their job, and staff accounts only see what their role requires. We take reasonable steps to protect your information, but no method of storing or sending information over the internet is completely secure, and we cannot guarantee absolute security.

Cookies and tracking

  • Visit counting: our website stores a random ID in your browser to count visits and see which pages and sources bring people to us. This stays within our own system.
  • Meta Pixel (Facebook and Instagram): we use the Meta Pixel to measure page views and completed quote requests from our ads. Meta may use cookies and receive information such as your browser details and the pages you visit. Visitors from regions that require it are asked for permission first, and your choice is saved in your browser. You can also manage ad settings in your Facebook or Instagram account, or block third-party cookies in your browser.

Service providers we use

We use trusted service providers to run our business. They handle information only to provide their service to us, and some may store it outside Alberta or Canada, including in the United States, where it may be subject to the laws of that country.

  • Lovable (website hosting and our secure customer records system).
  • Google (Gmail for sending documents and messages, Google Calendar for scheduling, Google Maps for addresses and directions, and Google reviews).
  • Stripe (online card payments; card details go directly to Stripe).
  • Cloudflare (website delivery and security).
  • Meta (advertising measurement, as described above).

Interac e-Transfer payments are handled through your own bank. We may also share equipment details with manufacturers to register warranties when you ask us to.

How long we keep it

  • Invoices, receipts and other financial records are kept for at least six years, as required by the Canada Revenue Agency.
  • Customer and equipment records are kept while you remain a customer so we can support service and warranties on your equipment.
  • Quote requests that do not become jobs are deleted when they are no longer needed.

Your choices and rights

Under PIPA, you can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Some records, such as invoices and tax records, must be kept by law. We will respond within the time allowed by law, generally 45 days. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner of Alberta.
